Salesman tracking app: a practical guide for field sales teams

Choose a salesman tracking app using real attendance, location, customer visit and follow-up tests. A practical guide for Indian field sales teams.

A salesman tracking app helps a manager follow a field sales team’s working day: attendance, received location updates, customer visits and the next action. The useful question is not simply “Where is the salesperson?” It is whether the manager can understand what happened at a customer and what needs follow-up.

For an Indian sales team choosing an app, start with one ordinary day and the phones your employees already use. This guide explains the records to compare, a sample working-day review and the questions that separate location tracking from a complete sales workflow.

What should a salesman tracking app include?

Look for location updates with timestamps, attendance records, assigned tasks, useful visit forms and a manager review process. Add order capture, collections or CRM integration to the list only if those are part of your daily work. Do not assume that an app with a live map includes those sales functions.

Live locations and visit completion answer different questions

A recent position can help a manager coordinate work, but it does not explain a customer conversation. An employee may be near a client without completing a meeting, or spend a long time at one site because the work takes longer than expected.

Read the recorded time alongside the location. Network access, phone permissions and GPS conditions can affect when an update is received. When a point is old, investigate the context with the employee instead of treating it as a complete account of the day. See how NexaSync presents live location updates and timelines.

An example of a useful daily sales review

Illustrative working day: a salesperson checks in, visits a retailer, records “quotation discussed; purchase decision expected Friday”, and has a follow-up task for the next day. The manager can see the visit outcome and the next action without asking for another end-of-day message.

This example describes a review process, not a customer result or a claim that a visit produced a sale.

For your pilot, choose a normal appointment, an unavailable customer and a follow-up that remains unfinished. A system that handles only a completed demonstration visit will not tell you how well it handles ordinary exceptions.

Keep the visit form short enough to use at the site

Start with the customer and branch, visit purpose, work completed, outcome, next action and action owner. Add a photo, reference or quantity when a manager needs it to make the next decision. Avoid forcing every salesperson to fill in service-engineer questions or enter “N/A” repeatedly.

The field visit report template gives you blank columns and example fields. In NexaSync, compare tasks, client visits and configurable activity forms with the information your team needs to submit.

Check Android and iPhone behaviour on the actual devices

  • Setup: can employees sign in, understand the requested permissions and complete their first working-day action?
  • Updates: can the manager identify a current update and an older one?
  • Connectivity: ask the vendor what can be completed without network access and what appears after reconnection. Do not assume the whole app works offline.
  • Battery and background access: test the required settings during an ordinary route, rather than using a short office demonstration.
  • Help: agree who investigates a missing record and what device or time information they need.

Use official store links, including the Android and iPhone links on the NexaSync download page. Explain the work purpose and intended location-access expectations before the pilot.

For device settings, see the official guides to Android location settings and Apple Location Services. The app’s required configuration still needs to be confirmed for your workflow.

When you need more than a tracking app

A distributor may need price lists, retailer orders, returns, stock and collection reconciliation. Another business may need a CRM pipeline or service scheduling. Write these requirements down separately. A location app should not be assumed to replace accounting, inventory or a CRM.

Use our field force software comparison to evaluate products with different workflow scopes. If you are replacing an existing tool, the switching checklist covers historical records, pending work and the cutover date.

Compare the cost of the plan you will actually keep

Check the employee limit, required features, manager access, billing term and upfront amount. A free app download does not establish that the business service or every feature is free.

NexaSync Free supports up to three employees with basic attendance and location visibility. Its separate 14-day Pro trial allows evaluation of paid capabilities; tasks, client visit forms and expense review are Pro features. Read the current Free and Pro plan comparison and the free-plan guide before relying on a trial feature.

A small pilot before a team-wide rollout

  1. Choose one manager and a few employees with representative phones and routes.
  2. Record attendance, one ordinary visit and one cancelled or incomplete visit.
  3. Review the timestamp, visit outcome and follow-up owner together.
  4. Run an attendance correction and a travel-claim example through the intended review process.
  5. Remove unused form fields and resolve setup problems before expanding.

The five-day rollout checklist provides a day-by-day plan. If attendance depends on designated sites, use the geofencing attendance setup guide. For travel review, use the conveyance reimbursement example.

Common questions

Is a salesman tracking app the same as a CRM?

No. Tracking focuses on attendance, locations and field activity. A CRM may manage leads, opportunities, communication history and a sales pipeline. Check the actual functions and integrations of the plan you intend to use.

Does GPS prove that a sale or meeting happened?

No. Review the location time alongside the visit outcome, submitted information and follow-up. A position and a completed business activity answer different questions.

Can a small sales team start with a free plan?

Possibly, if the employee limit and included workflow fit. NexaSync Free covers up to three employees with basic attendance and location visibility. Structured visits, tasks and expense review require Pro; compare the plan you will retain after any trial.
