A five-day rollout checklist for your field-team app
Pilot a field-team app with real attendance, visits and manager reviews. Use this five-day plan and interactive readiness checklist.
Before moving an entire field team onto a new app, test one complete working day with a small group. A successful login is only the start: employees need to record their work, and managers need to find and review it.
The checklist below is a suggested five-day pilot. Adjust the pace to your team’s routes, shifts and devices. The aim is to find setup problems while they are still easy to fix.
Before the pilot: write down the rules
Choose one team and a manager who will review its records daily. Include employees with different phones and working arrangements, such as office starts and direct client visits. Select ordinary working days rather than a demonstration at the office.
- Define where the working day starts and ends.
- List the client details employees need during a visit.
- Agree which visit fields managers will actually review.
- Write down how missed attendance and travel claims will be handled.
- Tell employees what information the app records and who to contact for help.
A five-day pilot plan
| Day | Employee task | Manager check |
|---|---|---|
| 1 · Access | Sign in on the phone and complete the required setup | Everyone can access the correct team and understands the daily steps. |
| 2 · Attendance | Check in and out during a normal working day | Records make sense for office starts and client-site starts. |
| 3 · Visits | Record a real visit with the agreed form | The report answers what happened and what needs follow-up. |
| 4 · Exceptions | Walk through a missed-entry or clarification scenario with the manager | Both sides understand how to raise and resolve a problem. |
| 5 · Review | Share anything confusing or repetitive | Remove unused fields, fix setup issues and decide whether to expand. |
Test the phones your team actually uses
Check permissions and normal connectivity on the employees’ own devices. A location update can be affected by GPS conditions, network access and phone settings. Note the device and time when something goes wrong so the problem can be investigated.
Do not assume that a smooth office demonstration proves the same experience on every route. Ask employees to report unclear messages and extra steps as well as outright failures.
Make the manager’s review part of the test
Can the manager find today’s attendance without asking for screenshots? Can they open a visit and understand the outcome? Is there a clear owner for the next action? If the manager still needs the same end-of-day WhatsApp summary, find out which information is missing or difficult to locate.
Keep a short issue list with the problem, employee or device affected, owner and next check. Separate setup issues from requests for additional features so the team knows what must be resolved before rollout.
Decide whether the team is ready to expand
This checklist is for your review on this page; selections are not submitted or saved.
If a core step still fails, fix it before adding another team. If the workflow is working but a form is too long, simplify it and repeat that part of the pilot. Expand in manageable groups with a named manager for each one.
Plan the NexaSync setup around your workflow
Use the feature overview to choose what you need for attendance, client visits and expense review. Check current plans and billing terms before choosing a plan for the pilot.
For a walkthrough, bring one ordinary working-day example: how an employee starts, what they submit after a visit and what the manager checks. That makes it easier to test a complete workflow in NexaSync.
