If your existing operation depends on dealer stock, order schemes or a particular integration, put those on the must-have list before switching. A lower subscription is not a saving if another process has to move back to a spreadsheet.

Map what must move before you migrate

Separate the records you need to keep from the settings you need to rebuild. A list of employees and customers is not the same as an export of historical visits, supporting images and approval decisions.

Do not promise your team a one-click migration until the required export and import have been demonstrated. An archive of previous records may be sufficient for some businesses; others need searchable history inside the replacement system.

Compare the full commitment, not one monthly rate

  • Number of billable employees and administrators.
  • Billing interval, minimum term and treatment of added or removed users.
  • Required modules, configuration and integration work.
  • Applicable taxes, support, onboarding and data-migration charges.
  • Export access and the process for leaving the service.

Use the same headcount and term for each quote. If one quote requires an annual upfront payment and another permits monthly billing, record that cash commitment separately from the monthly equivalent.

Run a replacement pilot before the cutover

Choose one manager and a few employees. Test a normal working day, a missed check-in, a client visit and the manager’s review. Add an order or collection test if it is part of the existing workflow. Use a controlled overlap so nobody loses track of where the official record should be entered.
